Job Description

Srindhya Global is seeking a Documentation & Compliance Executive to own the documentation chain for every shipment we execute. This is a critical operational role in pharmaceutical and chemical trading, a missing certificate or an incorrectly completed form can hold an entire shipment at port. We take this seriously, and we need someone who does too.

You will work across all active trade categories pharmaceuticals, FMCG, chemicals, and agro products managing the full documentation lifecycle from purchase order confirmation through to final delivery clearance.

Responsibilities

  • Prepare and review all export documentation for every active shipment commercial invoices, packing lists, certificates of origin, bills of lading, and all product-specific compliance certificates.
  • Coordinate with freight forwarders, customs agents, and shipping lines to ensure all documents are submitted within vessel departure windows.
  • Manage APEDA, ISO, NABL, and other certification documentation for relevant product categories ensuring certificates are current and destination-market compliant.
  • Maintain an active pipeline of prospective buyers and provide regular reporting on lead status and conversion progress.
  • Track and maintain up-to-date compliance requirements for each active export destination GCC, Southeast Asia, UK, and USA and flag any regulatory changes that affect active shipments.
  • Liaise with buyers and the trade team to confirm all documentation requirements before an order is confirmed not after.
  • Maintain an organised, audit-ready documentation archive for all completed and active trades.
  • Review and update internal compliance checklists as regulatory requirements evolve across active markets.

REQUIREMENTS

  • 1–3 years of hands-on experience in export documentation, trade finance, or supply chain compliance ideally in a multi-category trading or freight environment.
  • Working knowledge of Indian export documentation requirements and standard trade regulations IEC, APEDA, GST, phytosanitary processes.
  • Familiarity with international trade terms and standard shipping documentation commercial invoice structure, HS codes, certificate of origin requirements.
  • Strong attention to detail documentation errors cost the business and our buyers real money and real time.
  • Collaborate with the documentation and logistics teams to ensure that all buyer commitments are realistic, compliant, and deliverable on schedule.
  • Ability to manage multiple active shipments simultaneously without losing track of individual deadlines.
  • Calm under pressure shipment documentation deadlines are firm and sometimes tight.
